Privacy Policy
This policy explains what personal data Sentry collects, why, and what you can do about it. It covers this website, requests to book a call and, once it launches, the Sentry interview product. It is written to be read, not skimmed past.
These documents take effect when Sentry launches. Highlighted details, such as the company name, will be filled in before then.
Who we are
Sentry is operated by company name (registration number), registered address (“Sentry”, “we”). For anything in this policy, write to support@sentryhire.net.
Person responsible for the processing of personal data: name of the responsible person. Our representative in the European Union under Article 27 of the GDPR: EU representative.
For this website and for call requests, Sentry is the data controller (the operator, in the terms of Kazakh and Russian law). When a company uses Sentry in its interviews, that company decides why and how candidates’ data is processed and is the controller; Sentry processes that data on its behalf and only on its instructions.
What we collect
| Who | What | Why |
|---|---|---|
| Everyone who visits | Standard server logs kept by our hosting provider: IP address, browser, the pages requested and the time. | To deliver the site and protect it from abuse. |
| People who book a call | Name, work email, company; if you give them, your role, company size, how many interviews you run a month and a message; the language you want for the call; when you agreed to the processing of these details. If you then pick a time, the time and the Google Meet link. | To arrange and hold the call, to prepare for it, and to follow up about access to the private beta. |
| Candidates in interviews, once the product launches | Video and audio of the interview and the signals derived from it: where the eyes point, the time between question and answer, lip movement against the audio and head position. Moments marked for review, with timestamps and short clips. | To give the hiring company’s reviewers moments worth a second look, on the company’s instructions. |
To book a call you need to give your name, work email and company; everything else in the form is optional. Without the required details we can’t arrange the call. Everything else on this website works without giving us anything.
This website uses no analytics, advertising or tracking scripts, and its fonts and images are served by Sentry itself. The one exception is the calendar you see after sending the booking form: it is loaded from Cal.com, our scheduling provider.
What Sentry never does
- identify who someone is, or run facial recognition;
- guess emotions, personality, honesty or any other inner state;
- make hiring decisions, or reject, rank or score candidates — a person reviews every moment and decides;
- sell personal data, or train models on interview data without permission.
Facial landmarks are measured only to follow movement as it happens. Because some laws treat any data derived from a face as biometric, we handle it with the protection those laws require: notice before the interview, consent where it is required, strict access and short retention.
Legal bases
Where the GDPR or similar laws apply, we rely on: steps you ask for before a contract (arranging the call you requested); our legitimate interests (keeping the site secure, answering enquiries), weighed against your rights; your consent, where we ask for it, which you can withdraw at any time; and legal obligations.
Under the laws of Kazakhstan and Russia, we process the details in a call request on the basis of the separate consent to processing given in the booking form. For candidates, the hiring company obtains the consent the law requires before the interview.
No automated decisions
Sentry never makes decisions based solely on automated processing — not about people who contact us, and not about candidates. The laws of Kazakhstan, the EU and other countries restrict such decisions; Sentry is built so that a person always looks and decides.
How long we keep data
- Call requests, including the record of your consent: for up to 12 months after the call or your last message to us, then deleted; sooner if you ask, within 30 days of your request, unless the law requires us to keep something longer.
- Server logs: for a short period set by our hosting provider, then deleted.
- Interview data: for the period agreed with the hiring company, which will be published before the product launches. Candidates can always ask the company how long their data is kept.
International transfers and storage
Our providers may process data outside your country, including in the United States. When personal data leaves the EU, the UK or another country with transfer rules, we rely on adequacy decisions or standard contractual clauses.
Kazakhstan and Russia require their citizens’ personal data to be recorded and stored in databases located in the country. Sentry records such data in Kazakhstan or Russia first, and transfers it abroad only after that and on the conditions the law sets: with your consent and, for Russia, after notifying Roskomnadzor.
Your rights
Depending on where you live, you can:
- find out whether we process your data, and get a copy;
- have inaccurate data corrected;
- have your data deleted or anonymised, or its processing restricted;
- object to processing based on our legitimate interests;
- receive your data in a portable format;
- withdraw consent at any time, without affecting what was done before;
- not be subject to a decision based solely on automated processing — Sentry never makes one.
To see, correct or delete what we hold about you, or to withdraw your consent, write to support@sentryhire.net; we reply within the time the law where you live sets. You can also complain to a supervisory authority: in the EU, the authority in your country; in Kazakhstan, the authorised body for personal data protection; in Russia, Roskomnadzor.
Candidates: for interview data, the hiring company is your first point of contact. If you write to us, we pass your request to the company and help it answer.
Do Not Track and Global Privacy Control
Sentry doesn’t track you across websites and doesn’t sell or share personal data for advertising, so there is nothing for these browser signals to switch off. We treat them as a request not to be tracked, which is how the site already works.
Security
Data is encrypted in transit, access is limited to the people who need it, and our providers encrypt data at rest. No system is perfectly secure: if a breach affects your data, we notify the supervisory authority within the time the law sets (for example, 72 hours in the EU and 24 hours in Russia) and tell you without undue delay.
Children
Sentry is a tool for businesses and is not meant for anyone under 18. We do not knowingly collect children’s data.
Changes
We will update this policy as Sentry grows. Before any change that matters, we will say so here and, where the law requires it, ask for consent again. The date at the top shows the current version.
